Advanced Systems Group Production Coordinator in New York City, New York

Whether our clients are in search of onsite or remote support, our Flex Workforce team provides scalable production staffing solutions that can quickly adapt to their changing needs. 

The Production Coordinator role has a primary focus on production and post-production project intake, tracking, and booking of resources. These projects will take place at our client’s sites as well as other locations, and may also be completely remote. This position requires a high level of organization and communication skills, and will be relied upon by colleagues all across the organization. You will work daily with a small team of 3-4, as well as larger partner teams.

 

Responsibilities:

  • Act as primary point of contact (POC) for receiving project requests and scheduling, working with requesters to determine details and requirements

  • Lead with maintaining and managing intake form and project tracker

  • Lead on creating and maintaining calendars, and using production management software system

  • Main POC for communicating with talent to determine availability, confirm bookings, and manage dispatch

  • Ensure that clients, resources, and management are all kept abreast of pertinent information regarding project changes, both via documentation and verbal communication

  • Lead the closeout process on projects, including gathering feedback from partner teams and clients about talent and processes

  • Maintain and update talent roster when there are new additions and changes

  • Become the main stakeholder for working with our client’s credentialing & access systems

  • Help build Flex workforce talent portfolios for sales purposes

  • Assist HR and Finance teams with onboarding new resources

  • Collaborate on creating / maintaining operations Standard Operating Procedures (SOPs) and documentation

  • Assist with extracting and reporting metrics having to do with the Flex Workforce

  • Provide “white-glove service” to clients and partner teams at all times

  • Travel to client sites required as needed (approximately 5-10%)

  • Other duties, as needed

    Requirements:

  • 3-5 years of experience with media and/or entertainment production

  • In-depth knowledge of audio & video technology, for both broadcast & live

  • Excellent organizational skills, with the ability to manage multiple simultaneous projects and requests

  • Strong prioritization / awareness skills, real-time decision making on what needs to happen ASAP and what can wait, yet always following through with great attention to detail

  • High critical thinking skills, with the ability to solve problems proactively

  • Ability to work remotely at a high level, while still being part of a team

  • Exceptional communication skills, both oral and written

  • Knowledge of Google Workspace tools: Docs, Sheets, Calendar, Slides; as well as MS Outlook Mail, Calendar, and Teams

  • Experience with Scheduling software a plus

  • Strong network of production staff in New York and/or Los Angeles and London a plus

    Compensation and Benefits:

    This full-time role offers a base salary of $75,000 - 90,000 USD annually, depending on experience. This role is eligible for benefits including fully paid medical, 401k, PTO, and more.
