City Harvest Donor Stewardship Coordinator in New York, New York

Founded in 1982 as the world’s first food rescue organization, City Harvest is dedicated to helping to feed the nearly 1.2 million New Yorkers who are struggling to put meals on their tables. City Harvest is seeking a self-motivated Donor Stewardship Coordinator who will be responsible for assisting in coordinating various tasks including special projects in External Relations Operations (ERO) to achieve fundraising operational efficiencies in External Relations. The ideal candidate will also serve in a donor stewardship capacity for ERO. The Donor Stewardship Coordinator generates weekly acknowledgement letters, answers general phone inquiries from donors, triages departmental ERO data requests, and assists with database hygiene and select reports. They will also generate and provide recurring fundraising reports, queries for External Relations staff and ensures collaborative and supportive working relationships across External Relations teams on behalf of ERO. The Donor Stewardship Coordinator performs various tasks as assigned in support of ERO and External Relations.

This position will report directly to the Senior Manager, Prospect Management & Analytics.

Key Responsibilities:

  • Utilizing Raiser’s Edge, create and mail weekly donor stewardship letters, such as tax acknowledgements, recognition letters, pledge reminders, etc., for External Relations

  • Serves as front-line phone support to answer general donor inquiries

  • Weekly reports for Relationship Managers, including outstanding receivables, anonymous donations and tribute gift detail

  • Management of matching gift correspondence and email inbox

  • Processing database updates related to address changes, record merges and biographical updates, unsubscribe requests

  • Oversee the ERO ticket inbox system, triage requests and distribute to ERO team members

  • Manage data for the annual fiscal year-end report listing process

  • Manage various giving society reports and configurations for Relationship Managers


  • 2-4 years’ experience in relevant field

  • Knowledge of Raiser’s Edge NXT required; Luminate Online a plus; Import-O-Matic a plus

  • Experience with Microsoft Office 356 Suite, including SharePoint, Outlook, Excel, Word and Teams

  • A passion for attention to detail

  • Highly organized and attentive to details

  • Adept at meeting deadlines

  • Strong communication and grammar skills

  • Adobe Acrobat PDF viewer

  • FileZilla experience a plus

  • Ability to present information via virtual meeting platform(s)

  • A passion for performing detailed data entry

  • Ability to work efficiently and collaboratively as part of a team; excellent interpersonal skills
