  ROLE AND RESPONSIBILITIES   

Position Summary:  

An OTG Proposal Manager will have the responsibility of facilitating and contributing to all phases of the company’s proposal process including Requests for Proposals (RFPs), Request for Information (RFIs), Request for Qualifications (RFQs), and other solicitations and ad-hoc presentations, leave-behinds, outreach events, and similar. The position will have significant internal contacts within all levels of the organization and report to SVP, Business Development.  The Proposal Manager will have to exercise skillin proposal planning and development. The Proposal Manager will work closely with various departments to facility necessary resources to complete the projects.

  Responsibilities :

  • Define, schedule, and manage the proposal preparation process and analyze the details of an RFP.

  • Participate in the development and review of proposal strategies and processes including setting timelines, kick off calls, and regular follow up calls with team as needed.

  • Ensuring all proposal team members have access to all bid documents and are provided timely updates to addendums, schedule changes, additions, etc.

  • Assist in analyzing the RFP or other requirements against the internal proposal outline to ensure both compliance and responsiveness to the requirements.

  • Write proposal narratives as needed

  • Review and edit proposal narratives from a variety of internal stakeholders

  • Manage registrations with key bid sites and airports for expected release of potential bids, bid updates, etc.

  • Make continual improvements to the proposal management process, including developing organized repositories for existing content and the development of corporate and solution boilerplate material.

  • Produce the quality/technical documentation, in accordance with the RFP requirements

  • Ensure consistent review of bid timelines, addendums, changes, extensions

  • Archive and manage all new proposal content for potential re-use

  • Research potential future projects as directed

  • Assist with development of solicitation materials as directed

  • Other administrative duties as assigned   

    QUALIFICATIONS AND REQUIREMENTS  

  • Bachelor’s Degree (or comparable experience)

  • 5+ years of relevant proposal experience. Airport/Non-traditional specific is a plus

  • Proficient in a variety of office tools including Word, Excel, Keynote, PowerPoint, Adobe Suite etc

  • Proficient with Adobe Creative Cloud. Fluency in InDesign and Photoshop a must.

  • Must be collaborative and thrive in a team-oriented environment

  • Creative writing and layout experience

  • Self-motivated and thorough understanding of winning proposal content strategies

  • Ability to gather, organize, interpret, and collate data from multiple sources.

  • A clear understanding of planned proposal management with a keen eye for details.

  • Strong written, verbal, and inter-personal communications skills.

  • Demonstrated ability to solve problems and have a keen ability at relationship building.

  • Strong time management and prioritization skills.

  • A working knowledge of public/government solicitations and a good understanding of “how the government does business” especially airport authorities, local city governments, etc.

  • Experience delivering proposals that address complex requirements.

  • Be able to adapt to work under pressure, changing priorities, including coordination of

  • multiple & separate proposals at same time, and short timelines.

  • Exceptional facilitation and organization skills

  • Willing and able to adapt to work under pressure and short timelines, as well as work with and possibly manage others .
