White Plains Hospital Volunteer Services Manager in WHITE PLAINS, New York

Position Summary

Working with the Director of Ancillary Programs and Volunteer Services, the Manager of Volunteer Services organizes and implements core aspects of the volunteer program, collaborating with all levels of the organization, employees and departments to enhance the patient experience and provide staff support. Manager partakes in day to-day- office operations, including planning, recruitment, training, and placement of volunteers. Assists director in managing, training and coaching staff in Ancillary Programs: Information Desk, Gift Shops, CAMS Care Concierge & Volunteer Services.

Essential Functions and Responsibilities Includes the Following:

  • Understands and adheres to the WPH Performance Standards, Policies and Behaviors.

  • Assists Director with development, enhancement and implementation of volunteer programs, projects and objectives to enhance patient and quality improvement initiatives.

  • Engage/lead all aspects of day-to-day running of department including: recruiting, interviewing, orientation, placement of volunteers and maintaining volunteer schedules.

  • Conduct ongoing evaluation of volunteer engagement strategy and services, recommending and implementing improvements as identified and/or necessary to sustain and enhance program.

  • Establish/maintain positive, supportive rapport with volunteers, aiding retention; provide coaching as needed.

  • Manages volunteer records and information on computer database system, including: entering new volunteer records, update current records, annual medical clearance, HIPAA, mandatory in-services, etc.

  • Collaborate/coordinate with department staff throughout the Hospital to fulfill requests for volunteer help; manage/coordinate special project requests.

  • Assist Director with adherence and implementation of all regulatory and quality measures (e.g., Joint Commission, background checks, WPH policies).

  • Manages department when Director out of office.

  • Assist Director with creating department newsletter, flyers and various communications.

  • Manages Gift Shop staff and volunteers; provides ongoing coaching and training. Oversees operational processes of both gift shops (main hospital and cancer center)-including: monthly reports, budget management and invoice processing; completes annual staff evaluation.

  • Ongoing collaboration and project management with Coordinator of Caregiver Support Program for quality and process improvement projects, training and data collection.

  • Mange Volunteer Office staff, provides ongoing coaching and training, completes annual evaluation.

  • Assists Director in managing, coaching and training Information Desk, Gift Shops and CAMS staff (and volunteers); assists with completing employee evaluations.

  • Represent WPH in the community by attending events/collaborating with local colleges, high schools and community organizations to coordinate volunteer placements.

  • Assist with Volunteer, Community Relations & other Hospital events as needed, including occasional weekends and evenings.

  • Assist with department budget management and payroll.

  • Performs all other related duties as assigned.

Education & Experience Requirements

  • Bachelor’s Degree required, Master’s preferred, in Human Resources, Healthcare Management, Business, or Social Sciences/Psychology or the equivalent combination of education and experience required.

  • Hospital/healthcare office management, recruitment experience and working with volunteers preferred.

  • Previous management experience required.

  • Mandatory in-service training as needed.
